How to Use NetSuite’s Advanced Record Customization (ARC) to Improve AI Accuracy

Table of Contents

Quick Answer

NetSuite Advanced Record Customization (ARC), introduced in the 2026.2 release, provides administrators with a single place to review, manage, and override the AI descriptions associated with record types. Clear, account-specific descriptions can help NetSuite’s AI features interpret your records more accurately. ARC does not retrain the AI model, so results still depend on your data quality, permissions, and how well each description reflects your process.

Introduction

Businesses now use AI in NetSuite to analyze data, generate insights, automate processes, and work with records through natural language. However, AI needs context to understand that data, and giving it access to NetSuite does not tell it how your business uses each record, especially in accounts that have been customized over time.

Giving access to the NetSuite environment to AI doesn’t necessarily mean that AI understands everything on its own, especially how your business uses the data. This is where NetSuite Advanced Record Customization comes into play.

NetSuite introduced Advanced Record Customization (ARC), which provides NetSuite administrators with a centralized place to review, manage, and override the AI description for standard record types, custom record types, and custom transaction types. It provides an account-specific context about what each record represents.

What is Advanced Record Customization in NetSuite?

Advanced Record Customization is a feature in the NetSuite 2026.2 release that provides a central location for administrators to manage the AI descriptions associated with record types. It supports custom record types, custom transaction types, and selected standard record types.

Administrators can access it through Customization > Advanced Record Customization.

Using ARC, NetSuite administrators can:

  • View and filter record types: See each supported record type with its name, record ID, record family, record type source, and effective AI description.
  • Create descriptions: Add an account-specific description for records that do not have one yet.
  • Update descriptions: Edit an existing description so it better reflects how the record is used in your account.
  • Compare descriptions: Review a custom description against the default provided by NetSuite or by a NetSuite solution partner.
  • Revert overrides: Restore the default AI description defined in the record definition.

What Is an AI Description in NetSuite?

An AI description is a concise piece of text that describes what a record type is, how it is used in your account, and how it relates to your business account.

ARC uses a layered model that supports two versions of an AI description:

  • AI description: The default description provided by NetSuite, an account customization, or a partner solution.
  • Override description: A custom description defined by a customer or administrator to override the default one.

When an override is active, it becomes the effective AI description used by AI-enabled NetSuite features. Changes made to the default description elsewhere in NetSuite or through a partner solution do not replace an active ARC override.

The key benefit of using ARC is that businesses know what the record does in their NetSuite account rather than relying only on its standard record definition. This becomes particularly useful when a company has heavily customized its NetSuite environment. ARC gives administrators a way to provide AI with that business-specific context.

Why Does Context Matter for AI in NetSuite?

Context matters because businesses often customize NetSuite around their own processes. As a result, a record’s purpose within one organization may be very different from its standard definition.

For AI-enabled NetSuite experiences, having the right business context is important to interpret records correctly.

For example, a company may create a custom record to manage its customer onboarding process. The record may be easy for employees to understand because they already know how it is used in their day-to-day work. However, AI may not automatically understand what the record represents or how it fits into the business process.

This is where ARC can help. It allows administrators to add an AI description that explains what the record represents and how it is used in their NetSuite account.

The idea is simple:

Better context → better understanding of business-specific records → potentially more relevant AI results.

ARC doesn’t retrain the AI model or guarantee that every response will be accurate. Instead, it gives additional information to AI about what a record means, how it is used, and how it relates to the business.

How to use ARC to improve AI results?

Implementing ARC does not necessarily mean you need to change or rewrite your NetSuite data model. Instead, the focus is on making the description of important records more meaningful and clear to AI.

The following steps should be kept in mind when using ARC to improve AI results.

Identify Key Record types that matter to AI use cases:

Start by identifying the record types that are frequently used by AI use cases. Depending on business processes, this may include

  • Customer
  • Projects
  • Sales orders
  • Vendors
  • Case
  • Items
  • Custom Records
  • Custom Transaction types, etc.

You don’t need to customize every available record. Instead, focus on those records that are important for your AI initiative or where the standard description does not accurately reflect how your business uses the record. This is especially important for organizations with highly customized NetSuite environments.

Review the existing AI description:

Once you identify the key record, go to

Customization -> Advanced Record Customization

Review the existing AI description of the selected record. Depending on the account configuration, this may originate from NetSuite, account customization, an installed bundle or an installed partner solution.

Ask a simple question:

Does the existing AI description provide enough context about how our business uses this record?

If the answer is yes, then there is no need to change or replace the existing AI description.

If  the answer is no, then an account-specific override provides better context and reflects how the record is used.

Describe your actual business process:

A useful description explains how the record functions within your business process instead of repeating the record name or its generic definition. A practical approach is to answer four questions:

  • Who creates the record?
  • When is it created?
  • What does it represent?
  • What business process does it support?

The goal is not to document every detail; instead, provide enough business context to help AI understand your business process and how the record is used within it.

Keep the description concise:

ARC descriptions have a 280-character limit, which means you need to prioritize the information that matters most.

Think of  the description as metadata  for AI rather than explaining the entire business process. Focus on the information that provides AI with the right context about how your business uses this record.

Compare and save your changes:

You can also use the Optimize for AI option to refine the description before saving. Review the suggested wording to ensure it accurately reflects your business process.

Validate the AI Description:

NetSuite’s October 2026 update introduced validation for AI descriptions, including overrides created through Advanced Record Customization.

AI features use a description only after it passes validation. If validation fails, administrators must update the description and save it again. If immediate validation is unavailable, NetSuite can complete the validation later.

Administrators should confirm that descriptions are valid before relying on them to provide business context for AI-enabled workflows.

What Does a Good ARC Description Look Like?

A good ARC description states what the record tracks and how it fits into your process. Consider a company that uses a custom Customer Onboarding record to track implementation progress, assigned teams, customer requirements, training, and target go-live dates.

  • Generic description: “Tracks customer onboarding information.”
  • Account-specific ARC description: “Created by the implementation team when a sales order is approved. Tracks implementation progress, assigned resources, customer requirements, training, open tasks, and target go-live date.”

The second description tells AI who creates the record, when it is created, and what it contains. This context can help AI interpret requests related to customer onboarding records more accurately.

How Does ARC Work with the NetSuite AI Connector Service?

ARC becomes especially valuable as organizations connect NetSuite with AI clients and AI-powered applications.

Oracle’s NetSuite AI Connector Service enables supported AI clients to interact with NetSuite through tools and the Model Context Protocol (MCP). As AI gains access to NetSuite data and functionality, having clear business context becomes increasingly important.

This means organizations should think beyond:

“Can AI access our NetSuite data?”

and ask:

“Does AI have enough context to understand our data and business processes correctly?”

Industry research points in the same direction. In its 2026 data and analytics predictions, Gartner predicts that by 2030, universal semantic layers will be treated as critical infrastructure alongside data platforms and cybersecurity, and describes them as a way to improve AI accuracy and manage costs.

ARC addresses part of this challenge by allowing organizations to manage AI descriptions at the account level. Clear, business-specific descriptions can provide AI with better context when working with NetSuite records.

Is ARC Enough to Make NetSuite AI-Ready?

AI is only as useful as the data and context it can understand. In NetSuite, ARC provides a practical way to make important records clearer and more meaningful for AI.

The goal is not to add more information, but to provide the right context to reflect  how your business works.

As AI adoption grows, organizations should look beyond simply connecting AI to NetSuite. They should also prepare the data and business context that AI relies on.

ARC is one step toward that goal: making your NetSuite environment easier for AI to understand, interpret, and work with.
